Privacy Policy
Effective date: October 11, 2026 · Last updated: October 28, 2026
What changed on October 28, 2026: we no longer use Housecall Pro. Our request form, our website chat, and our customer records now run only on our own systems, and nothing from Housecall Pro loads on our website (see Records in our former scheduling system).
This policy explains what personal information GRS Service HVAC Inc. collects when you visit grsserviceinc.com, use our request form or chat, contact us, or hire us; how we use and share it; and the choices you have.
Who we are
GRS Service HVAC Inc. (“GRS,” “we,” “us”) is a California corporation and licensed HVAC contractor (CSLB license C-20 #1154007) based in Fair Oaks, CA 95628.
What we collect
From our own request form
Our “Book Service or Get a Quote” form on this website is our own form. No other company’s tools load in it. When you send it, your browser sends what you entered to our website (hosted by Hostinger), and our website passes it over an encrypted connection to our own customer-management system, which runs on our own computer. The connection goes through Cloudflare, which secures and delivers it for us.
The form asks for:
- Your first and last name, phone number, and email address
- Your service address and ZIP code (we use the ZIP code to check that you are in our service area)
- The service you need, a preferred date and time window, and anything else you choose to tell us
- How you heard about us, if you choose to answer
When you send our form, it also tells us how you found our website: the website or link you came from (for example Google, Yelp, or the QR code on our van) and the first page you opened. Your browser keeps this note in session storage, only in the open tab, and it reaches us only if you send the form. We don’t use cookies or analytics tools for this.
We don’t store your IP address with your request.
If our system can’t be reached at that moment, our website keeps your request for up to 24 hours while it tries again, and emails it to us (from our get@grsserviceinc.com mailbox, hosted by Hostinger, to our Google Gmail), so nothing is lost. After that, the copy on the website is deleted.
We use what you send only to answer this request, give you an estimate, and schedule the work. We may call, text, or email you about it (see our SMS terms). We don’t sign you up for marketing.
From our own website chat
Our website chat is our own chat. No other company’s tools load in it. To start, you give your name, a phone number or an email, and your first message. What you type goes from your browser to our website (hosted by Hostinger), and from there over an encrypted connection, through Cloudflare, to our own customer-management system, where our team reads and answers it. While the chat is open, your browser asks our website for new replies every few seconds.
Your browser keeps the conversation (a random chat key and the messages) in local storage on your device for 7 days after your last message, so you can close the page, come back later and continue the same chat. After that it is deleted. You can delete it sooner by clearing this website’s data in your browser, or with “Start a new chat” when a chat has ended.
Chats are recorded. Our team sees the whole conversation, and we keep it in our customer-management system as part of your request, the same way as requests from our own form. People answer the chat. We may call, text, or email you about it.
If our system can’t be reached when you start a chat, your first message is handled like a request from our own form (see From our own request form).
When you call, text, or email us
We receive your phone number or email address and anything you choose to tell us, such as your address or what is wrong with your system.
When you become a customer
- Your name, phone number, email address, and service address
- Equipment details (such as model and serial numbers), job notes, and photos of the equipment and our work
- Estimates, invoices, and payment records
Card payments go through Square. You pay either on Square’s payment page, from a payment link we send you for an invoice, or on our technician’s phone in the Square app. You enter your card details with Square, and we do not see or store full payment card numbers. We give Square what it needs for the payment: the amount, the invoice number, your name, and, if you want a receipt, your email address or phone number. Square sends the receipt. Square handles payments for us as our service provider. It handles receipts and its other buyer features under its own privacy notice for buyers.
Automatically when you visit our website
Like most websites, ours receives your IP address, browser information (user agent), the pages and files you request, and the date and time. Our web host, Hostinger, and its content delivery network use this to deliver the site. Our security software, Wordfence, logs it to detect and block attacks.
We also count visits ourselves, on our own server, to see which pages help people and where they come from: the page you open, the website or link you came from, whether you use a phone or a computer, and taps on our phone number, booking buttons, form and chat. To count people without cookies, our server turns your IP address and browser details into a code that changes every day and keeps only that code, never the IP address. Nobody else gets these counts, and we delete them after about 13 months. If your browser sends a Global Privacy Control signal, we don’t count your visit.
How we use your information
- To respond to your request, schedule appointments, and keep you updated
- To diagnose, repair, install, and maintain equipment, prepare estimates and invoices, and take payment
- To register equipment warranties and get permits and inspections
- To keep business, tax, and warranty records
- To protect our website from spam and attacks
- To comply with the law
Text messages (SMS terms)
Our team sends texts by hand from our own phones. Our own systems do not send automatic texts. If you ask for a card payment receipt by text, Square sends it (see card payments). Until we close our former Housecall Pro account, it may still send an automatic text or email about a job booked there before October 28, 2026, such as a visit or invoice reminder (see Records in our former scheduling system).
Texts about your request or job. If you give us your mobile number (in our form, in the chat, by phone, or as a customer), we may text you about that request or job, for example to confirm a time, remind you of an appointment, tell you that your technician is on the way, send an estimate or invoice, confirm a payment, or ask once after the job for an honest review. These texts are not marketing. If you prefer calls or email, tell us, or reply STOP.
No marketing texts. We do not send marketing or promotional texts. Sending our form or starting a chat does not sign you up for them. If we ever offer them, we will ask for your separate consent first and update this policy.
For all our texts:
- How often: message frequency varies.
- Cost: message and data rates may apply.
- To stop: reply STOP at any time, or call or email us and ask us to stop texting you.
- For help: reply HELP, call (916) 605-9767, or email get@grsserviceinc.com.
- Delivery: mobile carriers are not responsible for delayed or undelivered messages.
We do not share your mobile phone number or your text-message opt-in data and consent with third parties or affiliates for their marketing or promotional purposes. Your text-message opt-in data and consent are not shared with any third parties.
Who we share information with
- Service providers that handle information for us, including:
- Hostinger (website hosting) and Wordfence (website security)
- Square (card payments and receipts, see card payments)
- Google Gmail (email)
- Cloudflare (a secure connection to our customer-management system)
- Apple, Google, and Microsoft push notification services, which deliver alerts about new requests and chats to our team’s phones and computers. An alert may include your name.
- Map services, such as Google Maps (including Street View) and the U.S. Census Bureau’s address lookup, to show a service address on a map. We send them only the street address, not your name, phone number, or email.
- QuickBooks by Intuit (accounting)
- Apple iCloud, Google Drive, and Slack (storing and sharing job photos and records within our team, and encrypted backups)
- Anthropic’s Claude, an AI assistant that helps us organize email, schedules, and job records
- Housecall Pro, our former scheduling system, which still holds records from before October 28, 2026 (see Records in our former scheduling system)
- Equipment manufacturers, to register your warranty for you, such as Daikin Comfort Technologies (Goodman and Daikin brands). We give them your name, address, contact information, equipment model and serial numbers, and installation date.
- Building departments and inspectors: city or county building departments and, when required, third-party energy-code (HERS/ECC) raters, when a job needs a permit or inspection.
- Utility and rebate programs, only when you ask us to help with a rebate.
- Professional advisors, such as our accountant, lawyer, and insurer.
- Government authorities or others when the law requires it, such as under a subpoena or court order.
None of this sharing includes your text-message opt-in data and consent, except as explained in our SMS terms.
Third-party content and links
Our pages load their text, images, fonts, and code from our own website. They do not load content, ads, or tracking tools from other companies’ servers.
We link to other websites, such as the Contractors State License Board (www.cslb.ca.gov), where you can check our license, and our Facebook and Instagram pages. We do not control other websites’ privacy practices.
Cookies, tracking, and Do Not Track
- Our website does not set cookies for ordinary visitors. Only site administrators who log in get login cookies.
- We do not add analytics tools from other companies, advertising or social-media pixels, or session recording to our pages. Our own visit counter runs on our server and sets no cookies.
- Our own pages use your browser’s session storage only for a short note about how you arrived at our website (see From our own request form). It stays in the open tab and is deleted when you close it. If you use our own chat, your browser keeps that conversation in local storage for 7 days after your last message (see From our own website chat). We store nothing else in your browser.
Can other companies track you through our site? Our pages do not load other companies’ content or tracking tools, so other companies cannot use our pages to follow your browser across websites. Our web host and security software receive the visit information described in Automatically when you visit our website.
Do Not Track: Our site works the same whether or not your browser sends a Do Not Track signal. We do not track visitors across websites.
Job photos
We photograph equipment and our work for our records, and we may publish photos of equipment and work on our website and in our marketing. Before publishing, we remove location data from photos. We do not publish photos that show people or identify a home’s address without permission.
We do not sell your information
We do not sell your personal information, and we do not share it for cross-context behavioral advertising (ads based on your activity across other websites and apps). We are a small business. Whether or not the California Consumer Privacy Act applies to us, we voluntarily offer the requests described below.
How long we keep information
We keep personal information as long as we need it to provide our services, honor warranties, and meet legal and tax record requirements. Because equipment warranties can last many years, we may keep customer and equipment records for years. Requests from our form, chats, and the photos and files sent in them are kept the same way as our other customer records. When we no longer need information, we take reasonable steps to delete it.
Requests from our own form and our own chat that don’t turn into a job are deleted after 2 years without activity, together with the related call and message records. Our customer-management system’s encrypted nightly backups are kept for about 2 months, so a deleted request is gone from them within about 60 days.
Records in our former scheduling system
Until October 28, 2026, we used Housecall Pro for scheduling, customer records, and customer texts and emails. Requests sent through our website form or chat while they ran on Housecall Pro also went there. We copied these records into our own customer-management system. The originals stay in our Housecall Pro account, which we use only to look things up, until we close the account. We are turning off its automatic texts and emails to customers. Until that is done, it may still send one about a job booked there before October 28, 2026. If you get one you don’t expect, call or text us. Housecall Pro may keep copies, such as backups, under its own privacy policy. Requests to see, correct, or delete your information (below) cover these records too.
Security
We use reasonable safeguards, including an encrypted (HTTPS) connection to our website and a website firewall with login security. Our customer-management system’s nightly backups are encrypted. No system is completely secure. Please do not send payment card numbers or other sensitive details through our form or chat, by email, or by text.
Your choices and requests
You can use our website without sending the form or starting the chat. You can call, text, or email us instead. You can stop text messages at any time as described in our SMS terms.
You may ask to see the personal information we have about you, correct it, or delete it. This includes requests you sent through our form, your website chats, and the photos and files you sent in them.
To make a request, email get@grsserviceinc.com with the subject “Privacy request,” or call (916) 605-9767. We will first confirm it is really you, for example by checking contact details we have on file, and we will respond within a reasonable time. We may need to keep some information to finish your service, honor a warranty, or meet legal or tax requirements. We also cannot delete information we have already given to manufacturers, government agencies, or others as described above. When we delete records from our former Housecall Pro account, Housecall Pro may still keep copies, such as backups, under its own privacy policy. If we cannot fully meet a request, we will tell you why.
Children’s privacy
Our website and services are not directed to children under 13, and we do not knowingly collect their personal information. If you believe a child has sent us personal information, contact us and we will delete it unless the law requires us to keep it.
Changes to this policy
When we update this policy, we will post the new version on this page with a new effective date. If we make a significant change, we will also say so at the top of this page. We will ask for your consent before we use or share information we already have in a significantly different way.
